How It Works

From Manufacturer Lot to Customer's Daily Routine

A streamlined six-step process turns your supplement and vitamin inventory into FIFO-rotated, lot-tracked, expiration-verified shipments β€” with the regulatory documentation supplement brands need and zero risk of expired product reaching customers.
Receive

Supplement and vitamin products inbound via container, LTL, or small parcel. Every unit logged at receipt with manufacturer lot number, manufacture date, expiration date, and quantity. Condition verified for transit damage, seal integrity, label compliance, and packaging defects before stock enters inventory.

Store

Climate-managed storage zones maintained at 65-75Β°F and 40-50% relative humidity, meeting USP standard storage conditions for dietary supplements. Products stored away from direct light and segregated by SKU and lot. Powders stored upright. Liquids and gel caps positioned to prevent leakage or separation.

FIFO Pick

First-in, first-out rotation enforced at the WMS level. The oldest lot in inventory is automatically allocated to outbound first, with newer lots reserved until older stock depletes. Every pick is scan-verified against the lot's expiration date β€” any product within 90 days of expiry is flagged for review before it ships.

Pack

Your branded packaging applied per spec β€” bottles, pouches, jars, blister packs, single-serve sticks. Tamper-evident seals verified before pack. Custom inserts, dosage cards, sample packs, or marketing material added per your unboxing standard. Packing slips, gift messages, and channel-specific documentation attached as required.

Ship

Multi-carrier rate shopping at the order level. Cold-chain shipping with insulated packaging and gel packs available for temperature-sensitive products including probiotics, liquid supplements, and tinctures. Carrier and service level selected to balance delivery speed with cost and product stability.

Expiry Alert

Inventory aging tracked continuously. Lots flagged 90 days before expiration for priority clearance, markdown campaigns, donation, or return to you. Lots within 30 days of expiry are automatically held from outbound β€” expired product never ships from our facility, protecting your brand from FDA complaints and customer harm.

Why Brands Choose 3PLCity

Purpose-built infrastructure, real-time technology, and hands-on service - all under one roof.

πŸ’Š

Lot Number Tracking

Complete lot-level traceability from receipt through shipment. Every unit shipped is tied to its manufacturer lot, customer order, ship date, and destination address β€” generating the audit trail required for FDA recall procedures, FTC compliance documentation, and quality holds within minutes, not days.

🌑️

Climate Storage

Supplements and vitamins degrade faster in heat, humidity, and light exposure β€” losing potency, changing color, or failing stability testing. Our climate-controlled zones maintain 65-75Β°F and 40-50% relative humidity year-round, meeting USP standard storage conditions for dietary supplements.

πŸ”„

FIFO Rotation

First-in, first-out inventory rotation enforced at the WMS level. Older stock never sits behind newer stock. Your oldest available lot ships first on every order, keeping average days-on-shelf low and preventing the slow-mover write-offs that erode supplement margins.

⚠️

Expiry Date Management

Expiration dates recorded at receipt and tracked continuously. Lots flagged 90 days before expiration for priority shipping, markdown campaigns, or return to your facility. Products within 30 days of expiry automatically held from outbound. Expired product never reaches customers β€” eliminating FDA complaints and brand-damaging reviews.

πŸ“‹

cGMP-Aware Processes

Our processes align with current Good Manufacturing Practices for dietary supplements as defined under 21 CFR Part 111. Documentation, segregation, sanitation, and handling protocols meet cGMP-consistent standards. Full audit trail available for brand-side compliance reviews and FDA inspections.

Sports nutrition brands

Protein powder, pre-workout, BCAA, creatine, recovery, and performance supplement brands with specialized packaging needs β€” bulk tubs, stick packs, pouches, sample bundles β€” and the unboxing presentation customers expect from premium nutrition pricing.

Supplement Fulfillment Compliance Requirements

Supplement and vitamin brands operate in one of the most heavily regulated ecommerce categories in the U.S. The FDA's dietary supplement rules under 21 CFR Part 111 require manufacturers and distributors to maintain lot tracking, proper storage conditions, expiration date management, and full documentation for potential recalls. The FTC governs marketing claims, structure-function statements, and substantiation. Carrier regulations apply to certain supplement formulations including liquid extracts, sprays, and any product flagged as hazardous in transit. Even minor non-compliance β€” a missing lot record, an expired unit shipped to a customer, an inventory record that doesn't match physical stock β€” can trigger FDA warning letters, customer complaints to the FDA's MedWatch system, or legal exposure under California's Proposition 65.

3PLCity is purpose-built for these requirements. Our lot tracking is complete, instant, and queryable in seconds β€” generating recall reports with customer names, addresses, and order dates for any specific lot within minutes of a hold being declared. Our climate storage meets USP standard conditions for dietary supplements year-round. Our FIFO rotation is enforced at the WMS level, not the picker level, eliminating human error from inventory rotation. And our expiry management flags at-risk inventory 90 days before it becomes a problem β€” giving brand teams time to clear, markdown, or return aging stock before write-offs hit the P&L.

Frequently Asked Questions

How do you track lot numbers and expiration dates?

Every supplement product is logged at receiving with manufacturer lot number, manufacture date, expiration date, and unit quantity β€” captured at the unit level in our WMS. Inventory is tracked by lot throughout its time in our warehouse, with FIFO rotation routing the oldest lot to outbound first on every order. Expiration dates are scan-verified at pick before any unit ships, and lots within 30 days of expiry are automatically held from outbound to prevent expired product from reaching customers.

What temperature range do you maintain for supplement storage?

Our climate-managed storage zones maintain 65-75Β°F (approximately 18-24Β°C) and 40-50% relative humidity year-round. These conditions meet USP (United States Pharmacopeia) standard storage requirements for most dietary supplements, vitamins, and nutraceutical products. For temperature-sensitive products requiring refrigeration β€” certain probiotics, liquid extracts, peptides β€” we offer cold storage options on request.

Can you support FDA supplement labeling requirements?

We store, handle, and ship your products with the FDA-compliant supplement labels your manufacturer or printer applies. We do not manufacture or modify supplement labels (those are regulated activities under 21 CFR Part 111), but we verify at receiving that the label present on every unit matches the SKU specifications in our WMS β€” catching mislabeled or unlabeled inventory before it reaches customers.

What happens if we need to recall a lot?

Our lot tracking system identifies every order that shipped a specific lot number within minutes of a recall being declared. We generate a complete recall report including customer names, shipping addresses, order dates, quantities, and tracking numbers for every unit of the affected lot. We can also halt outbound shipments of the affected lot immediately, preventing additional units from reaching customers while the recall is processed. This level of traceability is what FDA expects from supplement distributors and what brand teams need for damage control.

Do you handle powdered supplements and protein powders?

Yes. Sealed powders in bags, jars, tubs, or stick packs are stored and fulfilled with no special handling beyond standard climate control. Powders are stored upright to prevent settling and away from extreme temperatures or humidity that could cause caking, clumping, or seal failure. Protein powders, pre-workouts, BCAAs, creatine, greens powders, and any other dry supplement formulation are all in scope.

What types of supplement and vitamin brands does 3PLCity fulfill for?

DTC supplement and vitamin brands selling on Shopify, Amazon, TikTok Shop, and direct websites. Subscribe & Save sellers and monthly supplement subscription programs. Private label and white label supplement brands across capsules, tablets, gummies, powders, liquids, sprays, and tinctures. Sports nutrition brands including protein, pre-workout, recovery, and performance categories. Wellness, beauty-from-within, immunity, sleep, weight management, hormonal health, and specialty nutraceutical brands. Every supplement brand we serve gets the same lot tracking, FIFO rotation, climate storage, and expiry management.
